Description :

Virtual Event Planning:

  • Work with presenters and speakers to develop engaging and informative content for virtual events.
  • Plan and manage the technical aspects of virtual events, including platform selection, registration setup, and integration of interactive features such as chat rooms, polls, and Q&A sessions.
  • Facilitate attendee engagement by implementing strategies to encourage active participation and engagement during virtual events.

In-Person Event Planning:

  • Coordinate all aspects of in-person meetings including planning timelines, contracting, room block, and hotel logistics.
  • Manage speaker arrangements, including confirmations, agreements, bios, and coordination with session organizers.
  • Coordinate staff work related to marketing, event website, event app, and registration.
  • Manage signage requirements, including the production and placement of signage.
  • Oversee the printing of badges for conference attendees and thank-you letters to exhibitors, sponsors, and speakers.
  • Create event schedules for the overall event and staff members.
  • Develop event scripts and coordinate script execution during events.
  • Coordinate confirmations and arrangements for exhibitors, ensuring their successful participation in the event.

Strategic Planning:

  • Assist the Executive Director with strategic planning related to education and events.
  • Identify emerging trends and best practices in education and events.
  • Conduct needs assessments and gathers feedback from members and stakeholders to inform program and event planning.
  • Adhere to the current strategic plan when establishing education and meeting objectives.
Requirements :
  • Bachelor's degree and relevant work experience.
  • Experience in developing and implementing educational programs.
  • Strong knowledge of instructional design and adult learning principles.
  • Excellent organizational, project management, and attention-to-detail skills.
  • Experience in program evaluation and data-driven decision-making.
  • Proficiency in event planning and management, including logistics and coordination.
  • Strategic thinking and ability to contribute to strategic planning.
  • Budget development and management skills.
  • Strong written and verbal communication skills.
  • Ability to work with volunteer leaders, staff, and stakeholders.
  • Familiarity with event technology and communication tools.
